University scheduling with AI

Dayan AI, the AI assistant for university stakeholders by Eques AI, runs a university's course scheduling through one conversation: each department is guided through its data phase by phase, every workbook is validated against the university's rules, one university-wide run builds the timetable, and the result comes back as schedule pages, records and reports — in English or Arabic.

What university scheduling involves

University scheduling — also called course timetabling — gives every course section a time, a room and an instructor, so that no instructor, room or student group is booked twice, every room fits its class, instructors teach when they are available, and students can register for the courses their study plan requires. A university does it for every department and faculty at once, every term, from data that many people hold.

That last part is where scheduling usually stalls: the curriculum sits with one office, instructors' availability with another, rooms with a third, and each department fills in its own spreadsheets. Most of the effort goes into collecting, checking and correcting that data before any timetable can be built.

Courses and study plans

Courses, credit hours, prerequisites and the semester each course belongs to.

Students

What each student has passed, which courses they may take next, and how many credit hours they may register for.

Instructors

Who teaches which course activity, and when each instructor is available.

Rooms

Which classrooms and labs exist, their capacity, and when they are free.

How Dayan AI schedules a university, phase by phase

Each department works through the same eight phases with Dayan. In every phase Dayan hands out a workbook prefilled with the data already on file, checks what comes back, explains any problem in plain language, and moves on only when the department confirms.

  1. Curriculum — the study plan: courses, credit hours and prerequisites.
  2. Enrollment restrictions — how many credit hours students may register for.
  3. Students' history — what each student has completed so far.
  4. Offering and course suggestions — which courses the department offers next term, and the suggested courses for each student, reviewed by the department.
  5. Instructor availability — when each instructor can teach.
  6. Classroom availability — which rooms are available, and when.
  7. Course assignment — which instructor teaches which course activity.
  8. Preferred scheduling — preferred times for course activities.

When every department has confirmed, one university-wide run groups the students into sections and builds the timetable with rooms and instructors, checking every conflict. Students then see their own schedule and course record, and staff receive the faculty schedules and reports.

Why schedule in a conversation

Data collected in chat

Dayan asks each department for what it needs, one step at a time, instead of sending out empty templates and deadlines.

Validation with reasons

Every workbook is checked against the university's rules and the data on file; each problem is explained, and another department's data is never overwritten.

Resume any time

A department that stops midway continues where it left off; confirmed phases carry over.

Reports on request

Schedules, records and summaries as Excel, PDF, Word or PowerPoint files, in English or Arabic.

Works with the university's own data and pipeline

Dayan AI is deployed per institution and works over that institution's own curriculum, rules, scheduling pipeline and data on file; it operates the scheduling with the university instead of replacing its systems. How it compares with traditional timetabling software, and with tools such as UniTime, CELCAT or Coursedog, is on the comparison page.

Frequently asked questions

What is university scheduling?

The work of giving every course section a time slot, a room and an instructor for the coming term, without conflicts for instructors, rooms or students, and in line with the university's rules and study plans. It is also called course timetabling or academic scheduling.

How does AI help with university scheduling?

Mostly before the timetable is built: collecting each department's data, checking it against the rules, explaining what is wrong and handing back corrected files. Dayan AI does that work in a conversation, then runs the university-wide scheduling over the validated data and reports on the result.

Can Dayan AI build the whole university's timetable?

Yes. Once every department has confirmed its phases, one university-wide run builds the timetable over all departments' validated data, with rooms, instructors and conflicts checked.

Does it replace our timetabling software?

No. It works with the university's existing scheduling pipeline and data; see how Dayan AI compares.

Does it work in Arabic?

Yes. Departments can work with Dayan in Arabic or English, and schedules and reports come in either language, Arabic laid out right-to-left.

Which universities use it?

Heliopolis University (Cairo, Egypt) is the first deployment. Universities interested in Dayan AI can write to support@equesai.tech.
